The Defence Team is on the move! Over 9,000 members are relocating to the newly renovated National Defence Headquarters (Carling); an environment-friendly, modern, world-class facility located in the west end of Ottawa. Transforming our work environment and relocating to NDHQ (Carling) is a significant undertaking that planned properly, can go smoothly and revolutionize the workplace by encouraging a healthy work-life balance as well as promoting efficiency and collaboration. To prepare you for your own move, the transformation team has created a series of features explaining in detail how to prepare for it and thrive in your new office environment. Working out of the new headquarters will bring some modern and ecological changes to our way of operating. Indeed, we are encouraged to print less and less documents in order to use less paper of course, but also maximize our office space by avoiding to have it crowded with piles of files. Additionally, many spaces and office devices are shared between various teams to allow for increased collaboration, as well as enhance quality of life by moving and interacting more.
This is why the NDHQ (Carling) accommodations are designed to Workplace 2.0 Standards, which consist of a renewed approach to workstations, offices, collaborative space and formal meeting spaces. The underlying principle is that work is what you do from different places, using tools that allow you to access information from wherever you are. Workplace 2.0 brings flexibility to the workplace by allowing for new tools to be easily incorporated into the design. The new space also optimizes the content and size of workspaces, and therefore impacts the quantity and nature of items to be moved.
The Workplace 2.0 Standards also mean that lots of shared spaces are in place for you to use, already equipped with IT equipment. Meeting, VTC, training and quiet rooms, as well as shared equipment areas are all available on site.
Another essential aspect of your new workflow is what we call Alternate Workplace Arrangements. This modern way of thinking focuses on the desired outcomes and provides flexibility to achieve those results. So if working from home one day a week means completing your administrative tasks and reviewing more Personnel Evaluation Reports (PERs) or Public Service Personnel Assessments (PSPA), than that option could be something to discuss with your supervisor. If coming in to the office early to beat traffic and go through your inbox faster, and then leave earlier than usual to take your child to the dentist’s, again, you could have the opportunity to investigate that arrangement with your supervisor. If appropriate, employees and managers will collaborate on establishing arrangements that will improve the overall outcome.
In short, these changes will give you the opportunity to upgrade your workflow to this new, modern workplace and affect productivity, operational readiness, and quality of life.
